Terms of Service & Privacy Policy

1. Parties & Definitions

These Terms of Service (“Terms”) constitute a legally binding agreement between you, the student (“Customer”), and Dormbox (“we,” “us,” “our”), a storage logistics service operating in Brno, Czech Republic under applicable Czech civil law (Act No. 89/2012 Sb., the Czech Civil Code).

By submitting a booking form and paying the deposit, you confirm that you have read, understood, and agree to be bound by these Terms in full.

2. Service Description

Dormbox provides a seasonal door-to-door storage service for university students in Brno. The service includes: delivery of flat-packed boxes (or acceptance of customer-owned suitcases), pickup from the customer's dormitory, secure warehousing for the months of July and August, and re-delivery to the customer's new address in September.

3. Pricing & Payment

  • The total service price is 1,800 CZK for 3 Packages (1 Package = 1 Box or 1 Suitcase), including pickup and delivery.
  • Additional packages are available at 400 CZK per package.
  • A non-refundable deposit of 500 CZKis due at the time of booking to secure the customer's spot.
  • The remaining balance of 1,300 CZK (or adjusted total for extra packages) is due on pickup day.

4. Refund & Cancellation Policy

The 500 CZK deposit is fully refundable only if the booking is cancelled at least 7 calendar days before the selected pickup window date. Cancellations made fewer than 7 days before the pickup window, or no-shows, forfeit the deposit in full. Refunds will be processed within 14 business days via the original payment method.

5. Weight Limit

Each box or suitcase must not exceed 20 kg. Packages exceeding this limit may be refused at pickup or may incur an additional handling surcharge at our discretion. Dormbox is not liable for any damage resulting from overweight packaging.

6. Prohibited Items — Zero Liability

The following items are strictly prohibited from all packages. Dormbox assumes absolutely zero liability for loss, damage, or theft of any prohibited item packed by the customer:

  • Laptops, tablets, e-readers, and other electronic devices
  • Cash, credit/debit cards, and financial instruments
  • Jewelry, watches, and other valuables
  • Passports, visas, ID cards, and official documents
  • Perishable food and beverages of any kind
  • Liquids, aerosols, or pressurized containers
  • Illegal substances, weapons, flammable materials, or hazardous goods
  • Furniture or items that do not fit inside the provided boxes or declared suitcases

By booking, the customer confirms they have not packed any prohibited items. Packing prohibited items constitutes a material breach of these Terms.

7. Packing Responsibility

The customer is solely responsible for properly packing all items, including providing adequate protection (e.g., bubble wrap, padding, newspaper) for fragile items such as glassware, ceramics, and picture frames. Dormbox exercises reasonable care in transporting packages but is not liable for damage to items that were inadequately packed by the customer.

8. Limitation of Liability

Dormbox's maximum aggregate liability for any and all claims arising from lost, damaged, or destroyed packages — regardless of the number of packages stored — is capped at 2,000 CZK total per customer per storage season.

This cap applies to all causes of action, including negligence, breach of contract, and any other legal theory. Dormbox is not liable for indirect, incidental, or consequential damages of any kind. Claims must be submitted in writing within 7 days of delivery.

9. Abandonment of Property

If the customer fails to (a) provide a valid delivery address, (b) pay the remaining balance, or (c) claim their packages by October 15th of the applicable storage year, the stored items will be deemed legally abandoned under Section 1045 et seq. of the Czech Civil Code (Act No. 89/2012 Sb.).

Dormbox reserves the right to donate, recycle, or dispose of abandoned items at its sole discretion, without further notice or obligation to the customer. No refund of any deposit or fee is owed for abandoned property.

10. Force Majeure

Dormbox shall not be held liable for delays or failure to perform any obligation under these Terms if caused by events beyond reasonable control, including but not limited to natural disasters, fire, flood, pandemic, government action, labor disputes, or infrastructure failure.

11. Privacy Policy (GDPR Compliance)

Dormbox is committed to protecting your personal data in accordance with Regulation (EU) 2016/679 (the General Data Protection Regulation, “GDPR”) and Czech Act No. 110/2019 Sb. on Personal Data Processing.

11.1 Data Collected

We collect only the following personal data, strictly necessary to fulfill the storage service contract:

  • Full name
  • WhatsApp phone number
  • Current dormitory or address
  • Selected pickup window date

11.2 Legal Basis

Processing is based on GDPR Article 6(1)(b) — performance of a contract to which the data subject is party. No additional consent is required for this processing purpose.

11.3 Data Usage & Sharing

Your data is used exclusively to coordinate box drop-off, pickup, storage, and delivery logistics. We do not sell, rent, trade, or share your personal data with any third parties for marketing purposes. Data may be shared with payment processors (Stripe) solely to complete your transaction.

11.4 Data Retention

Personal data is retained for a maximum of 12 months after the end of the storage season (i.e., until September 30th of the following year), after which it is permanently deleted unless retention is required by Czech tax or commercial law.

11.5 Your Rights

Under the GDPR, you have the right to access, rectify, erase, or port your data, and to lodge a complaint with the Czech Office for Personal Data Protection (ÚOOÚ). To exercise these rights, email hello@dormbox.cz.

12. Governing Law & Dispute Resolution

These Terms are governed by and construed in accordance with the laws of the Czech Republic. Any disputes shall be submitted to the competent courts in Brno, Czech Republic. For consumer disputes, out-of-court resolution is available through the Czech Trade Inspection Authority (ČOI) at www.coi.cz.

13. Amendments

Dormbox reserves the right to update these Terms at any time. Material changes will be communicated to customers via WhatsApp or email. Continued use of the service after such notification constitutes acceptance of the revised Terms.
